MINUTES OF THE MEETING OF THE BOARD
of the
LIVE OAKS TENNIS ASSOCIATION

                                                       February 17, 2010

Board members present: Roger Bryant, Tim Hummel, Kevin Lutz, Ann Mosser, Jan Pluim and Steve
Marrs.  Club Pro Jeffrey Normile also was present. Chris Condit was
absent.
 
Membership
Sergio Barron declined our invitation to become an Active Member (he moved out of the area).  We voted to offer the opening to Dan Takeyama and he has accepted.  Our waiting list has two applicants, Mustapha Baha and Joe Carlson.
 
Proposed Rules Modifications
1) PASSED-- under ORDER OF PLAY we add, “Players shall not reserve a court prior to commencement of play. “
 
2) PASSED—under TOURNAMENT PLAY we change “Tournament play has precedence . . .” to ”Tournament and League play has precedence for court usage.”

3) FAILED—under PROSPECTIVE MEMBERS we add, “Prospective members shall be considered as guests of his or her sponsors and a fee charged as previously noted.”

4) WITHDRAWN under PROSPECTIVE MEMBERS we add, “If a prospective members declines an offer to become an Active Member a second time he/ she will be dropped from the Waiting List (and forfeit the deposit).”
 
5) WITHDRAWN under PROSPECTIVE MEMBERS we add “If requested, the club may offer a quarterly initiation payment schedule with full membership rights during each of those quarters.”
 
Financial Report
Tim reported that we are again in sound financial condition and distributed comparisons of both a Balance Sheet (2/17/09 and 2/17/10) and Profit & Loss Comparisons (7/1/09 – 2/17/10).

We voted to increase the cost of beverages from 75 cents to $1.25/ drink (soda, beer or sport drink) and to post a notice to that effect.

Another notice will be posted suggesting that one free can of balls is for members to play matches (2 or 3 sets) and that used balls should be used for practicing serves or hitting (not a new can of balls).

Trash Cans
Kevin and Roger will research buying nicer trashcans and a recycle can.

Club Pro Report—A Foothill Clubs Mixed Doubles Tournament (similar to the previous Men’s and Women’s Doubles Tournament) will be held the weekend of June 26-27, 2010.  The clubs involved are Live Oaks, San Marino, Altadena and Valley Hunt)
 
We reviewed court times for lessons and clinics with Jeffrey that Live Oaks boards have previously
authorized.  We reaffirmed these times, all by 6-0 votes, except # 2 that was by a 5-1 vote.
 
1) Lessons = one court at mutually agreeable times and not on weekends
before 10:30;
2) Two courts on Tuesdays and Thursdays from 3:30-5:00 for Junior
Clinics;
3) Two courts on Fridays from 8:30-10:00 for a women’s clinic;
4) Two courts on Thursdays from 9-10:30 for a women’s clinic;
5) Two courts on Mondays and Wednesdays for junior clinics, one from
4-5:00 and one from 3:30-5:00; and
6) Other courts/times (mutually agreeable with the board) upon advance
notice to members on the bulletin board.
 
Jan suggested and we agreed that weekend lessons could begin at 8:30 AM on one court.  We discussed whether, at our cost, the club should give Jeffrey new balls for his lessons and clinics.  Steve was interested in a Saturday morning men’s clinic.

Patio, Fence and Gate Repairs
Proposal from Jim Shearer was presented to the board and pending an email review by board members Roger will finalize details with Jim.
 
Six Month Rules Change Trial
We have noticed no problems (and virtually no changes) in the six month trial (January-June 2010) in which we:  1) Eliminate men or women only times/days; and 2) weekend mornings (8:30-10:30)-upper courts = drop in doubles (men and women members); lower courts = open doubles for arranged matches of members, guests, families, etc.
 
Spring Red / Blue Tournament and Party to beheld on Saturday, March 27, 2010
In lieu of the Memorial Day event (still keeping the May 1, 2010 Annual Meeting Red / Blue and Party) we will have a Red / Blue Tournament and Party on Saturday, March 27th.  Mark and Alma Banuelos will be in charge.  Jeffrey will have the signup sheet posted by March 1st and email reminders and notices to members.

Young / Old Intra Club Tournament
To foster “unity/friendship” we hope to have an intra-club tournament in which the combined age of partners must be over certain age (110 years for example)—we would like to hold this in early summer with men’s and women’s doubles.  Bill Jacobs was
recommended to be the “older” captain and Kevin Lutz the “younger” captain.
 
Offer LOTA Shirts and Caps for Sale to Members
Pete and Andrea Wilson are interested in, and have a plan and a source, for Live Oaks to again offer shirts and caps for sale.  The idea will be pursued when they return from a vacation.

USTA and A3 League and Liaisons—Kevin and Ann will act as Board Liaisons to Live Oaks USTA teams and among other things will collect fees from participants to cover the cost of balls used; process to be worked out at our next meeting.

Parking and Traffic on Oak Meadow Lane
1) Roger agreed to help Jeffrey develop a written reminder to parents;
2) Roger brought a mockup of “No Tennis Parking in Circle” signs to place in front of the three houses along the Oak Meadow Lane circle).  Terry Cuff and Hank Hancock have given verbal ok and David Younger will be contacted.

2010-12 LOTA Board Nominations
Sixty-days before the Annual Meeting, current President (Roger Bryant) and two past Presidents (Pete Wilson and Ken Okuno) will select a slate of candidates-- posted no later than 30-days before the Annual Meeting.
 
Barbecue Pit—Kevin brought a member’s proposal to consider buying a
gas barbecue pit to replace the current wood burning barbecue pit, but
there was little board interest.
 
Clubhouse Heater—Kevin will return the current clubhouse heater and purchase a better model sufficient to the clubhouse’s needs.
